1. Introduction
This Privacy Policy explains how GETMYINTERNS LLC ("GMI," "we," "us," or "our") collects, uses, shares, and protects information on the GetMyInterns.org platform and website. It is part of our Terms and Conditions, and capitalized terms such as "Account Owner," "Instance," "Internship Provider," "Student," and "Student Data" have the meanings given there.
Privacy at a glance.
- GMI runs the Platform on behalf of the schools, districts, and organizations that use it. They control their Students' data, not GMI.
- We never sell Student Data or use it for advertising.
- Internship Providers see only what they need to hire and manage interns, revealed in stages. They never see a Student's grades, demographic information, Social Security digits, or parent information.
- All data is stored and processed in the United States on Microsoft Azure.
- To access, correct, or delete a Student's information, contact the Student's school or program. We help them respond.
2. Who This Policy Covers and Our Role
GMI plays two different roles, depending on whose information it is.
- For Student Data and other Instance data, GMI is a service provider. The Account Owner decides what information its Instance collects and how it is used in its program. GMI processes that information only on the Account Owner's behalf and under its direction. For schools and districts, GMI acts as a "school official" under the Family Educational Rights and Privacy Act (FERPA). If an Account Owner's signed contract with GMI sets stricter rules, those rules apply.
- For our website and business contacts, GMI decides how information is used. This covers visitors to getmyinterns.org, people who submit a contact or demo request, and Account Owners' billing and business contacts.
This policy does not cover the practices of Account Owners or Internship Providers, which have their own policies, or of third-party services such as Clever and embedded video providers.
3. Information We Collect
We collect only what the Platform needs to run internship programs, from four main sources.
Student Data
Student Data comes from the Student, from the Account Owner (for example, through an upload or import), from Internship Providers (such as timesheet approvals and evaluations), or from Clever when the Account Owner uses it for sign-in. Depending on what the Account Owner collects, it may include:
- Identity and contact: name, student ID, email, phone, home address, city, and ZIP code.
- School: school, area of study, grade level or graduation date, and, where the Account Owner collects them, grades, transcripts, and GPA.
- Applications and placement: internships applied to, interview dates and availability, and hiring status.
- Documents: résumés, other documents, and photos.
- Internship records: timesheets (dates, hours, breaks, work descriptions, payment source, notes, and approvals) and Internship Provider evaluations.
- Demographic and eligibility information, such as income or ethnicity, where the Account Owner collects it.
- Parent or guardian information.
- The last four digits of a Social Security number, only if the Account Owner turns on that optional field.
Information about other Users
For Account Administrators and Internship Provider staff, we collect name, email, phone, organization, and role, along with what they create on the Platform, such as internship listings, interview schedules, timesheet approvals, and evaluations.
Website visitors and contact requests
If you submit a contact or demo request on getmyinterns.org, we collect what you enter, such as your name, email address, organization, and message. The website has no newsletter or mailing list signup.
Information collected automatically
When anyone uses the Platform or website, we automatically collect:
- Server logs: IP address, browser and device type, pages requested, and dates and times.
- Usage and performance data through Microsoft Application Insights, such as page load times, requests, and errors.
- Cookies, as described in Section 6.
4. How We Use Information
We use Student Data only to run the Platform for the Account Owner, never for advertising or any purpose of our own.
Student Data is used to:
- Provide the Platform's features, such as applications, interviews, hiring, timesheets, and evaluations.
- Let the Account Owner and the Internship Providers it approves manage the internship program.
- Send emails about accounts, applications, and program activity.
- Keep the Platform secure, fix problems, and provide support.
- Comply with the law and the Account Owner's instructions.
Other information is used to:
- Respond to contact and demo requests and manage customer relationships, including billing.
- Understand how the Platform and website are used, so we can improve them.
- Detect and prevent fraud, abuse, and security incidents.
We may create de-identified, aggregated data that cannot reasonably identify any person or Account Owner, and use it only to operate, secure, and improve the Platform and for internal analytics, as described in our Terms.
5. How We Share Information
We never sell Student Data. We share information only in the ways described here.
Within the Account Owner's program
The Account Owner and its Account Administrators can see the Student Data in their Instance. Users of one Instance cannot see another Instance's data.
With Internship Providers
Internship Providers approved by the Account Owner see only the Student information needed to hire and manage interns, and it becomes visible in stages.
| Stage | What the Internship Provider can see |
|---|---|
| Student applies | Name, school, area of study, grade level, city, ZIP code, interview availability, internship applied to, and résumé |
| Interview scheduled | Adds email and phone number |
| Student hired | Adds home address, student number, timesheets, and the provider's own evaluations |
Internship Providers never see a Student's grades, transcripts, demographic or eligibility information, Social Security digits, or parent or guardian information. They can export some of what they see, such as a list of their interns, and our Terms require them to protect it and use it only for the internship program.
With service providers
We use a small number of companies to help run the Platform. They may use information only to provide services to us and must keep it confidential and secure.
- Microsoft Azure for hosting, storage, and performance monitoring (Application Insights).
- An email delivery provider to send Platform emails.
- Google Analytics, once added, for usage statistics, with advertising features turned off.
For legal and safety reasons
We may disclose information if the law, a subpoena, or a court order requires it, or to protect someone's safety. For Student Data, we notify the Account Owner before responding to a legal demand, unless the law prohibits it.
In a business transfer
If GMI is merged, acquired, or sells its business, information may transfer to the new owner, who must continue to protect it under this policy. We will notify Account Owners before that happens.
6. Cookies, Analytics, and Embedded Content
We use cookies and similar technologies only to run the Platform and understand how it is used. We do not use advertising cookies, ad pixels, or tag managers.
| Type | What it does |
|---|---|
| Essential | Keeps you signed in and the Platform secure. The Platform cannot work without these. |
| Preference | Remembers settings you choose. |
| Performance | Microsoft Application Insights measures page speed and errors so we can fix problems. |
| Analytics (planned) | Google Analytics will show which pages are used and how, with advertising features turned off. |
| Embedded content | Videos, maps, and chat widgets from other companies may set their own cookies, under those companies' policies. |
Account Owners' public pages. Our website includes embedded videos. Account Owners can also add embedded content and their own analytics tracking to their Instance's public pages. That content and tracking are the Account Owner's responsibility.
Your choices. You can block or delete cookies in your browser settings. If you block essential cookies, you will not be able to sign in.
7. Students, Minors, and Education Privacy Laws
Because GMI serves students as young as 13, we follow the federal and state laws that protect student and children's privacy.
- Minimum age. The Platform is not directed to children under 13, and we do not knowingly collect information from them. If we learn we have, we delete it and notify the Account Owner.
- Parental consent. For Students under 18, the Account Owner obtains a parent's or guardian's consent before the Student uses the Platform.
- FERPA. For schools and districts, GMI acts as a school official with a legitimate educational interest and uses education records only as the school directs. Parents and eligible students exercise their FERPA rights through the school.
- Florida. For K–12 Students in Florida, we follow the Student Online Personal Information Protection Act (Section 1006.1494, Florida Statutes).
- Texas. For K–12 Students in Texas, we follow the student information protections in Chapter 32, Subchapter D of the Texas Education Code.
- Other states. We follow the student privacy laws that apply where each Account Owner operates, and any stricter terms in the Account Owner's contract with GMI.
Under all of these, GMI never sells Student Data, never uses it for targeted advertising, and never builds profiles of Students except for the Account Owner's program.
8. Communications
We contact Users by email today, and will send text messages only to Users who opt in once that feature is available.
- Email. We send emails about accounts, applications, program activity, security, and changes to our Terms or this policy. You can opt out of optional emails, but not essential service emails while your account is active.
- Text messages (when offered). We will use your mobile number only to send the messages you opted into. We will not sell or share mobile numbers or text message consent with third parties for their marketing. Reply STOP to opt out at any time.
9. Artificial Intelligence Features
GMI does not use AI features today. If we add them, such as internship matching or résumé help, we will update this policy before they launch, and these rules will apply:
- Student Data will not be used to train AI models offered by third parties, and any AI provider we use will be contractually prohibited from doing so.
- AI output will not be the sole basis for any decision about a Student's eligibility, selection, or placement. People make those decisions.
10. How Long We Keep Information
We keep Student Data for as long as the Account Owner remains a customer, unless the Account Owner asks us to delete it sooner.
- While a customer is active. Student Data stays in the Instance after a Student graduates or leaves the program, so the Account Owner can keep its records. The Account Owner decides when it should be deleted, and we delete Student Data within 30 days of its request by email to support@getmyinterns.org.
- After a customer leaves. The Account Owner may request a full export of its data for 90 days after its service ends. We delete its data, including all Student Data, within 30 days of its request by email.
- Backups. Deleted data remains in backups until they are overwritten on our normal rotation schedule, and stays protected until then.
- Logs and performance data. Server logs and Application Insights data are kept for a limited time for security and troubleshooting, then deleted.
- Contact requests and business records. We keep these as long as needed to respond and to meet our legal and accounting obligations.
- When the law requires. We may keep information longer if the law requires it.
11. Security and Where Data Is Stored
All GMI data is stored and processed in the United States on Microsoft Azure.
- Safeguards. We use reasonable administrative, technical, and physical safeguards appropriate to the sensitivity of Student Data, including encryption in transit and access controls.
- Separation between Instances. All Instances share the same infrastructure, including servers and database. Each Instance's data is kept logically separate through access controls, so Users of one Instance cannot see another's data.
- Access within an Instance. Account Administrators and Internship Providers can see information only about the Students they have been given access to, and the Account Owner controls who has that access.
- Breach notification. If we discover unauthorized access to Student Data, we notify the affected Account Owner within 72 hours after we become aware of it, and help the Account Owner notify affected people as the law requires.
No system is perfectly secure. If you believe your account has been compromised, contact us right away at support@getmyinterns.org.
12. Your Rights and Choices
How you exercise your privacy rights depends on your role.
- Students and parents. Contact your school or program to see, correct, or delete a Student's information, since the Account Owner controls that data. If you contact GMI directly, we will refer you to the Account Owner and help it respond.
- Account Administrators and Internship Provider staff. To see, correct, or delete your information, contact your Account Owner or email us.
- Website visitors. To see or delete information you submitted through a contact or demo request, email support@getmyinterns.org.
- Email and cookies. You can opt out of optional emails and manage cookies in your browser, as described in Sections 6 and 8.
- State privacy rights. Depending on where you live, state law may give you additional rights, such as access to or deletion of your personal information. Email us and we will respond as the law requires. When a request involves Student Data, we work with the Account Owner to respond.
13. Changes to This Policy
We will give at least 30 days' notice before a material change to this policy takes effect.
We will email Account Owners and Account Administrators about material changes and post the updated policy on the Platform. Minor clarifications take effect when posted. The "Last updated" date at the top shows the current version. We will not make a material change to how we use Student Data that was already collected without the Account Owner's agreement.
